Where we rely on legitimate interests, we have weighed our interests against your rights. You can object at any time (see "Correcting, Updating or Removing Your Personal Information").

  • We use AI tools to help our team work more efficiently. A member of our team reviews everything these tools produce before it is used or sent. We use them to:

    • summarise publicly available information about professionals and companies we may invite to our events
    • draft emails, proposals and other communications, which our team checks and edits before sending
    • assess how well a company or professional fits an event (for example, by industry, role and seniority)
    • suggest which delegates and sponsors may benefit from meeting each other, based on profiling answers

None of this involves decisions made solely by automated means that have legal or similarly significant effects on you. A person makes the final decision in every case.

Our AI provider, Anthropic (provider of Claude), acts as our processor. It may use your information only to provide the service to us, under a written contract. You can object to us using AI tools on your information by contacting our Data Protection Lead.

  • We do not sell, rent or lend personal information.

Event sponsors and exhibitors. We share your details with sponsors and exhibitors only if you have agreed to this, for example by answering "Yes" to the sharing question when you register. We share only what is needed for them to arrange meetings with you and tell you about relevant products and services. You can withdraw your consent at any time by emailing privacy@savant-events.com; we will stop sharing from then on. Sponsors who receive your details become controllers of them, and their own privacy policies apply.

Service providers. We use trusted providers to run our business. They act on our instructions under written contracts and may not use your information for their own purposes. They include:

    • customer relationship management (CRM)
    • email, documents and file storage
    • registration forms and surveys
    • business contact data
    • AI assistants
    • event venues, ticketing, payment processing and IT support

Others. We may also share information with our professional advisers, such as lawyers, accountants and insurers; with law enforcement or regulators where the law requires it; and with a buyer or successor if all or part of our business is sold or reorganised.

  • Cookies are small text files placed on your device when you visit a website. We use two kinds:

    • Strictly necessary cookies make the site work, for example by remembering your cookie choices. These do not need your consent.
    • Analytics and marketing cookies help us understand how the site is used and measure our campaigns. We set these only if you agree through the cookie banner.

You can accept or reject non-essential cookies when you first visit, and change your choice at any time through ["Cookie settings" in the site footer]. Our [Cookie Policy] lists each cookie, who sets it and how long it lasts.

Our servers also record technical information when you visit, such as your IP address, browser type, operating system, access times and the website that referred you. We use this to run and secure the site and to produce general statistics about its use.

  • We take photos and film at our events, and signs at each venue tell attendees when this is happening. We use the results on our website, in emails and on social media to show what our events are like and to promote future events.

Presentations and interviews. We ask for your consent before we film your presentation or interview you. If you later withdraw consent, we will stop using that footage in new material and remove it from channels we control where we reasonably can. We cannot recall material that has already been printed or widely shared.

General event photography and highlights. We photograph and film the event generally, which may include attendees in the background. We do this on the basis of our legitimate interests in promoting our events. We do not single out identifiable individuals in this footage.

Opting out. If you would prefer not to appear, tell a member of our team at the event or email privacy@savant-events.com. We will avoid photographing you where we can and, if you object later, remove identifiable images of you from channels we control.

  • You have rights over your personal information. You can ask us to:

    • access it, by giving you a copy of the information we hold about you
    • correct it, if it is inaccurate or incomplete
    • delete it, where we no longer have a good reason to keep it
    • restrict how we use it, for example while we check a complaint
    • transfer it to you or another organisation in a commonly used format, where we rely on consent or contract
    • stop using it, where we rely on legitimate interests; you can always stop us using it for direct marketing

Where we rely on your consent, you can withdraw it at any time. This does not affect anything we did before you withdrew it.

To stop marketing emails, use the unsubscribe link in any email. For anything else, contact our Data Protection Lead at privacy@savant-events.com. We will respond within one month and will not usually charge a fee. We may need to confirm your identity first.

We will keep a minimal record of your name and email address after an objection or unsubscribe request, so that we do not contact you again.

Complaints. If you have a concern, please contact our Data Protection Lead first so we can try to resolve it. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113. If you live in the EU, you can complain to the data protection authority in your country.

  • We store personal information in secure systems run by our service providers, listed under "Information Sharing". Some of these store data outside the UK; see "Transfer" below.

We keep information only as long as we need it:

Information How we decide how long to keep it
Prospects we have researched but who have not engaged with us Until it is clear you are not interested in our events, or the information is out of date
Delegates and speakers While you continue to attend our events or are likely to be interested in future ones
Sponsor and exhibitor contacts While your company works with us or is likely to take part in future events
Contracts, invoices and financial records As long as tax and company law require
    Consent and sharing preferences
As long as we rely on them, and afterwards as long as we may need to show we had consent
Unsubscribe and objection records As long as needed to make sure we do not contact you again
Event photos and footage As long as they are useful for promoting our events, unless you object

We review our records regularly. When we no longer need information, we delete the information or make it anonymous.

  • Some of our service providers, including our CRM, email and AI providers, store or process data in the United States or other countries outside the UK and the European Economic Area (EEA). When we transfer personal information outside the UK or EEA, we make sure it stays protected by one of these safeguards:

    • the country has been assessed by the UK government or the European Commission as providing adequate protection, including transfers to US organisations certified under the UK Extension to the EU–US Data Privacy Framework (the UK–US "data bridge")
    • a contract approved for this purpose, such as the UK International Data Transfer Agreement, or the EU standard contractual clauses with the UK Addendum

You can ask our Data Protection Lead for details of the safeguards for a particular transfer.
